Responsibilities

Provide efficient administrative support services to the EHR team.Provide support for the day to day running of the department.Handle administrative detail and projectsUpdate and follow up delegated tasks to ensure progress to deadlinesPrepare and distribute regular reportsParticipate in the preparation of draft budgetsAssist with the completion of special projects e.g. gather and compile statistics and quality assurance auditsAttend all meetings, including Steering committee. Take minutes and follow up on issues raised.Provide support to EHR Project Director, CMIO, Lead Physician and Clinical informaticistsWorking with the lead clinical informaticist and program director to ensure smooth running of the EHR projectCoordination of daily training and activitiesParticipate in preparation of schedulesCoordinate activities between Nairobi and KarachiCommunicate written and verbal matters appropriatelyReceive, sort and route mailPrepare correspondence using MS Office SuiteArrange essential mail in order of priority for action and process responsesCheck deadlines on incoming requests and put preliminary work in placeHandle all enquiries within one’s capacityArrange for “callbacks” at appropriate timesMaintain an electronic calendar: scheduling and monitoring all appointments/meetingsProject meetings: prepare agenda in advance, arrange meeting facilities, prepare and distribute minutes of the meetings and make follow-ups on action itemsOrganize workshops, training sessions and performing support rolesData Management & General Office AdministrationUpdate and manage filing indexUpdate mail/phone directoriesRoutinely re-order supplies

Qualifications


Diploma in Business and Office Management/ Diploma in Secretarial StudiesComputer literacy is mandatoryExcellent written and oral communication skills;Excellent word processing and IT skills, including knowledge of a range of software
packages;Ability to work under pressure and to meet tight deadlines;Excellent organizational and time management skills;Excellent interpersonal skills;Audio typing and shorthand skillsAbility to relate well with faculty and hospital staff at all levelsOrganizational and time management skillsDemonstrated initiative.Ability to set priorities and work effectively with minimum supervisionAble to work flexible/long hours if and when requiredThe ability to work on your own initiativeHonesty and reliabilityAttention to detailAn understanding of confidentiality issues and the use of discretion.
